Yearout Mechanical is seeking a detail-oriented and highly organized Tool/Equipment Coordinator. This role is responsible for ensuring the availability, tracking, maintenance, and accountability of all company tools and equipment used across projects. The Tool/Equipment Coordinator will manage tool distribution, coordinate repairs and rentals, and provide logistical support through deliveries and pickups. This position requires close coordination with field personnel, warehouse staff, and vendors to ensure efficient and safe operations.

Key ResponsibilitiesClient & Stakeholder Engagement
  • Support field personnel by fulfilling tool and equipment requests in a timely manner.
  • Communicate with internal teams regarding tool availability, repairs, and equipment needs.
  • Coordinate with vendors for equipment rentals and repair services.
Design, Technical, or Operational Execution
  • Check tools in and out for employees and maintain accurate usage records.
  • Inspect tools to ensure they are in safe working condition prior to issuance.
  • Schedule and track tool and equipment repairs; follow up to ensure timely return to job sites.
  • Label tools and maintain identification consistency across all assets.
  • Maintain a current and accurate inventory of all company-owned tools and equipment.
  • Track and manage outside equipment rentals, including issuing and updating purchase orders.
Project & Cross-Discipline Coordination
  • Coordinate deliveries and pickups of tools, equipment, and materials between warehouse and job sites.
  • Interface with warehouse, purchasing, and field teams to align tool availability with project needs.
  • Assist Warehouse/Purchasing Team Leader in fulfilling departmental responsibilities.
Documentation & Communication
  • Maintain physical and electronic records for all tools and equipment.
  • Generate and maintain logs for inventory, rentals, and equipment tracking.
  • Create job labels and documentation as required.
  • Communicate updates regarding tool status, repairs, and inventory levels.
Leadership & Resource Management 
  • Maintain organization, cleanliness, and safety of the tool cage and storage areas.
  • Support a safe and productive work environment through proper equipment handling and storage.
  • Ensure accountability for all tools and equipment issued and returned.
Desired Skills and ExperienceEducation & Credentials
  • High school diploma or equivalent required.
Experience
  • Minimum 2 years of experience in warehouse operations and inventory processes.
  • Experience working with SAP, ERP systems, or inventory management software.
  • Experience in construction, HVAC, or mechanical environments highly preferred.
Technical & Professional Skills
  • Proficiency in Microsoft Office at an intermediate level.
  • Working knowledge of procurement and inventory management principles.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to create and maintain process and procedure documentation.
  • Effective communication and interpersonal skills.
  • Ability to manage time effectively and prioritize multiple tasks.
  • Strong attention to detail and commitment to safety and quality.
Additional Notes 
  • This role requires regular physical activity, including lifting, carrying, and transporting tools and materials.
  • Driving for deliveries and pickups may be required.
