Position Overview 

The timekeeper ensures accurate recording of employee work hours, assists employees with time entry, and collaborates closely with payroll to guarantee timely and accurate compensation. This role supports employees and managers by maintaining the integrity of timekeeping records and ensuring compliance with company policies and payroll deadlines.

 

Key Responsibilities 

Client & Stakeholder Engagement 

  • Provide friendly, professional, and efficient customer service to employees regarding timekeeping processes and questions.
  • Assist employees with entering work hours into the timekeeping system and resolve time entry issues.
  • Assist employees and managers with completing timesheet corrections and adjustments.
  • Serve as a resource for employees and managers regarding timekeeping policies, procedures, and deadlines.
  • Respond promptly to employee inquiries while maintaining confidentiality of sensitive information.

 

Design, Technical, or Operational Execution 

  • Monitor employee time submissions and proactively communicate with employees who have not submitted time entries by established deadlines.
  • Review and verify the accuracy of employee time records to ensure hours worked are recorded correctly and comply with company policies and applicable labor laws.
  • Identify and resolve discrepancies, missing punches, and other timekeeping issues.
  • Process timesheet corrections that can be completed within the timekeeping system.
  • Escalate timesheet corrections requiring pay rate changes, labor allocations, or system configuration changes to the appropriate support teams for resolution.
  • Maintain accurate records within timekeeping applications and support ongoing system accuracy.
  • Sort and distribute payroll and layoff checks to managers in accordance with established procedures and confidentiality requirements.
  • Learn and effectively utilize timekeeping and payroll systems to support operational requirements.

 

Project & Cross Discipline Coordination 

  • Collaborate closely with payroll to ensure time records are accurate, complete, and submitted according to payroll processing schedules.
  • Coordinate with managers and employees to resolve outstanding timekeeping issues before payroll deadlines.
  • Coordinate with Payroll, HR, Operations, and other support teams to resolve escalated timesheet correction requests.
  • Support implementation of process improvements and system enhancements related to timekeeping operations.

 

Documentation & Communication 

  • Prepare and extract time reports and submit them to Payroll at the conclusion of each pay period, ensuring all data is accurate and complete.
  • Communicate submission deadlines, missing time entries, and required corrections to employees and managers.
  • Assist managers with layoff check requests and communicate required information to Payroll to support timely processing.
  • Maintain documentation supporting timekeeping processes and audit requirements.
  • Ensure all timekeeping information is handled with the utmost confidentiality.

 

Leadership & Resource Management 

  • Provide guidance and training to employees on proper use of the timekeeping system.
  • Promote compliance with timekeeping procedures and best practices across the organization.
  • Serve as a subject matter resource for timekeeping-related processes and requirements.

 

Desired Skills and Experience 

Education & Credentials 

  • High school diploma or equivalent required.
  • Additional coursework in payroll, accounting, business administration, or a related field is preferred.

 

Experience 

  • Experience working with timekeeping, payroll, or workforce management systems preferred.
  • Experience with Deltek, Dayforce, UKG, ADP, Workday, or other cloud-based timekeeping/payroll systems preferred.
  • Experience supporting employees in a customer service or administrative role preferred.

 

Technical & Professional Skills

  • Strong verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to consistently meet deadlines in a fast-paced environment.
  • Strong problem-solving and prioritization skills.
  • Ability to learn new systems and processes quickly.
  • Basic proficiency in Microsoft Excel required.
  • Advanced Microsoft Excel skills preferred.
  • Ability to maintain confidentiality and handle sensitive employee information appropriately.

Pay Range: $25.00-$50.00 / hour, depending on experience
