Summary

 

Varcomac is seeking a highly professional, reliable and detail-oriented Receptionist. The Receptionist is responsible for receiving visitors and guests, answering and routing phone calls and performing clerical work for office personnel. As the first point of contact, this position requires enthusiasm and a positive attitude. Organization, initiative, and time management skills must be successfully exercised in assigned tasks.

 

Responsibilities/Duties

    Greets incoming visitors at the front receptionist area. Professionally answers and distribute all incoming phone lines within 3 rings. Responsible for scanning and routing all documents including invoices, statements, receipts, payment stubs, certificates of insurance, timecards, and other miscellaneous items.     Has a working knowledge of office equipment, calls for repairs and maintenance when needed. Maintains inventory of hard hats, safety glasses and vests for newly hired field personnel.  Monitors and Emails incoming faxes to the addressed personnel as soon as they arrive. Maintains all aspects of the incoming and outgoing mail and postage machine.  Coordinates FedEx, UPS, and US Postal Service shipments.  Maintains shipping supplies for FedEx, UPS, and US Postal Service.  Prepares and maintains an accurate office supply inventory. Logs all incoming packages, plans, submittals, etc. for tracking and notifies office personnel of delivery.  Performs small housekeeping chores around the office. May make deliveries, pick-ups, and miscellaneous errands for the office.   Maintains the front office, conference rooms and breakrooms in a neat, orderly manner at all times. Helps to stock conference rooms and breakrooms.   Assists all personnel and Managers with various clerical duties and special projects as directed
Requirements 

 

1-3 years of related experience. Demonstrate a welcoming and professional demeanor. Ability to route and transfer incoming calls via Microsoft Teams. Knowledge of phone systems, copiers, fax machines, postage machines and other general office equipment. Maintain a high level of confidentiality. Excellent verbal and written communication skills. Strong attention to detail and ability to manage multiple tasks effectively. Knowledge of Microsoft Office Applications.
