Yearout Mechanical is a New Mexico based company specializing in the installation of mechanical and process systems for the commercial, government, manufacturing and industrial communities of New Mexico and Texas. Responsible for assisting in the planning and coordination activities concerned with the construction and maintenance of structures, facilities, and systems as they relate to our mechanical work. Tasks are to be accomplished within well-defined procedural time limits, with occasional non-routine work involved. Ensure open communication with Project Administrative Manager and Project Assistants on a daily basis.
Essential Functions
- High School diploma and 1 year construction work experience.
- Assist PAs, PMs, PAM, COO with various tasks as requested.
- Data entry: Purchase Order Requests, RFIs, Submittal Cover Sheets and Logs, Subcontracts, etc.
- Prioritize appropriately with good time management skills.
- Work cohesively with all team members and produce quality work while meeting deadlines.
- File electronically using alpha & numeric systems.
- Proficient with various office equipment, including; copiers, scanners and computers.
- Advanced understanding of MS Office Suite including MS Outlook to perform clerical tasks.

Responsibilities/Duties
- Closeout:
- Request O&Ms from Subs/Vendors and assemble/ship O&M binders.
- Generate submittal cover sheets and/or transmittals for closeout documents/attic stock.
- Schedule Owner Training with Subs/Vendors.
- Daily Planners-Save in project file: manage DP tracking sheet; contact Foremen for missing DPs.
- Dunning Letters-Generate weekly (Wednesdays) and provide to PA.
- Mail/FedEx documents, as needed.
- Meetings-Per PA or PM request.
Miscellaneous:
- Various tasks, as requested by PA/PMs (i.e. conference room and conference call scheduling).
- Front reception desk back-up, as needed.
- Permits/Underground Dig-call NM811, if urgent and PA unable to do.
- Printing-documents, plans, spec books, insulation booklets, Foreman Forms (backhall), Project Boxes, etc.
- Purchase Order Requests:
- Generate and submit PRs/POCOs to Purchasing. Save POs in project file. Enter dates in Timberline.
- New Vendor Request Set Up Form-submit to Accounting-confirm we have COI before submitting PR.
- Delivery Tracking-Contact vendors for shipping/delivery dates. Enter on Submittal Log.
- Process paperwork for material/equipment returns.
- RFIs-Generate RFIs and provide to PA. Process answer RFIs and provide to PA.
- Subcontracts-Generate subcontract/package letter and provide to PA.
- Submittals-Generate cover sheets and manage/update Submittal Log (equipment start-up dates).
- Warranty Work – Issue Service Request Form/PO. Request work report and send to PM/PA.
