Job Summary 
The Part-Time Compliance Coordinator provides administrative and communications support to the office team during peak business periods. This entry-level position is ideal for students or individuals seeking professional experience in a structured office environment. The position assists with general office operations, document preparation, internal communications, branding initiatives, and special projects while helping ensure a professional and efficient workplace. Responsibilities may also include providing front desk coverage, supporting employee communications, and assisting with other administrative tasks as needed. 

Key Responsibilities 

  • Reception & Front Desk Support 
    • Provide front desk and receptionist coverage during breaks, lunches, meetings, and scheduled absences. 
    • Welcome, assist, and direct visitors in a professional and courteous manner. 
    • Answer, screen, and route incoming telephone calls to the appropriate individuals or departments. 
    • Coordinate incoming and outgoing mail, deliveries, and other front desk administrative responsibilities. 
    • Maintain a professional and organized reception area and assist with general office support activities as needed. 
  • Timekeeping & Administrative Support 
    • Assist with employee timekeeping processes, including collecting, reviewing, and submitting timesheets for accuracy and completeness. 
    • Monitor and track employee time entries, missed punches, and timekeeping discrepancies, escalating issues as appropriate. 
    • Coordinate with supervisors and employees to resolve timekeeping questions and ensure timely payroll submission. 
    • Maintain organized and accurate timekeeping records in accordance with company procedures. 
    • Prepare and distribute routine reports related to attendance, labor hours, and workforce tracking as requested. 
    • Assist with data entry and record maintenance within company systems. 
  • Communications Support 
    • Assist in the creation, formatting, and distribution of internal communications, newsletters, announcements, and employee engagement materials. 
    • Support company branding initiatives by ensuring consistency across templates, presentations, forms, and communication materials. 
    • Maintain, update, and organize standardized document templates, reports, and correspondence. 
    • Review and proofread documents to ensure accuracy, proper grammar, formatting consistency, and adherence to company branding standards. 
  • Cross-Functional Department Support 
    • Support special projects, company initiatives, and process improvement efforts. 
    • Help coordinate employee events, training sessions, meetings, and company communications. 
    • Provide backup support for administrative functions across the organization during periods of high workload or employee absences. 
    • Perform other administrative and project support duties as assigned to meet business and operational needs. 

Qualifications 

  • Currently enrolled in an accredited college, university, or graduate program 
  • Strong attention to detail and organizational skills 
  • Basic computer skills (Microsoft Office or similar) 
  • Good communication and willingness to learn 
  • Ability to follow instructions and maintain confidentiality 

Work Environment

  • Excellent written and verbal communication skills. 
  • Strong attention to detail and organizational skills. 
  • Ability to manage multiple tasks and priorities in a fast-paced environment. 
  • Proficiency with Microsoft Office Suite, including Word, PowerPoint, Outlook, and Excel. 
  • Experience using Canva, Adobe Creative Suite, or similar design software is a plus. 
  • Ability to maintain confidentiality and exercise professional judgment. 
  • Strong customer service and interpersonal skills. 
  • Ability to work independently and collaboratively with all levels of the organization  

Additional Notes 

  • Part-time schedule of approximately 5–25 hours per week.  
  • Work is performed in a professional office setting during normal business hours.  
  • Limited physical demands; primarily administrative and computer-based work.  
  • Training will be provided.  
  • Hourly pay range: $20.00–$25.00, depending on experience and qualifications.
