Title: Marketing Coordinator

Reports To: Marketing Director

Work Policy: Four days in the office and Friday work from home

Position Overview:

Our New York City office is seeking a Marketing Coordinator to join the CMTA (legacy AMA Group) team and enhance our Proposal Coordination efforts. This position places a strong emphasis on expertise in Adobe InDesign software for proposal creation, marketing collateral, and document design.

The Marketing Coordinator plays a crucial role in supporting business development and sales through the end-to-end proposal process. This individual will collaborate with internal stakeholders and the firmwide marketing team to prepare MEP, Low Voltage, Security, Audiovisual, Acoustic, Lighting, and Commissioning proposals, as well as other client-facing materials. Advanced proficiency in Adobe InDesign is required to ensure all proposals and marketing documents meet company branding standards and reflect our commitment to quality and client success.

Key Responsibilities:

  • Support the coordination, preparation, and submission of responses to RFPs/RFQs and other internal and external marketing requests
  • Ensure proposals and marketing materials meet branding guidelines and all documents are edited, proofread and visually polished
  • Able to work efficiently in a heavy, deadline-driven environment, and collaboratively with team members and leadership when gathering required information for proposal submissions
  • Draft, edit, and organize marketing qualifications (proposals, presentation decks, brochures, resumes, etc.), ensuring accuracy and adherence to our firm branding standards
  • Proactively gather information for marketing requests while adapting to changing priorities and supporting team members and leadership
  • Maintain and update proposal/marketing InDesign templates and supporting documents

Requirements:

  • Bachelor’s Degree from an accredited University or equivalent experience
  • Provide samples of prior work experience

Experience:

  • Minimum 5 years of experience 
  • Demonstrated experience in proposal development, project coordination, or marketing roles, preferably within a professional services environment
  • Advanced proficiency in Adobe InDesign is required
  • Strong skills in Microsoft Office Suite and proposal management tools
  • MEP/AEC industry experience is a plus
  • Experience with Federal proposal process (SF330) a plus
  • Exceptional writing, editing, and organizational skills with strong attention to detail
  • Ability to support multiple projects simultaneously and meet tight deadlines
  • Excellent interpersonal and communication skills, with the ability to collaborate effectively with diverse teams
